Together with partner Aaseya, YASH built and deployed vCentral in just eight weeks, merging project creation, resource planning and allocation, timesheets, customer management, and billing into a single role-based platform that serves over 9,500 employees across multiple regions.

To bolster its growth momentum globally, YASH Technologies had initially adopted an off-the-shelf commercial portfolio management product. However, its complexity and steep learning curve led to low user adoption, with teams reverting to spreadsheets and point tools for managing projects, resources, and billing. Consequently, data across HR, project, and finance systems remained siloed, fragmenting workflows, slowing decision-making, and reducing visibility. Moreover, the platform was incurring high licensing and maintenance costs, rendering it unsustainable in the long term.

YASH needed a unified, agile, and scalable solution that could be deployed quickly, integrate with its global operating model, and streamline mission-critical processes across project and customer management, resource planning, and financial operations.

Connecting and streamlining operations globally

In collaboration with Aaseya, YASH selected OutSystems to develop vCentral–an end-to-end platform that integrates all aspects of project management from resource handling, timesheets, customer data, to billing to overcome the drawbacks of its previous systems. With a modular and role-based framework, vCentral offers a user-friendly and comprehensive experience, serving over 9,500 users across various locations worldwide.

Utilizing agile delivery methodologies, YASH and Aaseya successfully executed complex data migration. They launched a production-ready, fully functional application in line with business and timeline commitments within eight weeks—immediately offsetting the total cost of ownership (TCO) by eliminating the need to renew the licensing for the previous off-the-shelf solution. With this, YASH avoided incurring additional expense of maintaining two platforms in parallel, accelerating its return-on-investment (ROI).

By providing a centralized dashboard for project lifecycle management and role-based access control (RBAC), the platform offers not only a single source of truth and operational visibility, but also ensures robust security across all modules. Automated resource requisition and allocation reduce manual effort and turnaround, while the application’s modular architecture supports rapid enhancements and future AI integration for intelligent automation and predictive insights.

The launch of vCentral marked a major operational shift for YASH. The single, unified solution combined project-to-billing processes across teams and regions, replacing an expensive, low-adoption system. In a matter of weeks, vCentral attained a 90% organization-wide user adoption rate, thanks to the application’s easy-to-use, role-based design and enhanced user-friendliness.

By building vCentral, the company was able to reduce its annual licensing costs by 82%, eliminating the hefty licensing and maintenance fees of the previous platform. In addition, using AI-powered low-code, the development team delivered core functionality five times faster, with the application’s first iteration meeting over 92% of targeted business requirements.

vCentral has also contributed to improved visibility, less manual work, and easier compliance and reporting through the use of centralized dashboards and integrated workflows.

Looking ahead, YASH is continuing to advance vCentral in partnership with OutSystems, integrating AI capabilities that transform the organization’s experience. The team has already prioritized three agentic use cases. These include a dynamic natural language processing (NLP) dashboard that generates custom graphs from natural language queries, a resource planning agent that enhances the existing system with self-learning for more accurate and productive planning, and an invoice planning agent that orchestrates end-to-end workflows, streamlining processing and shortening overall cycle time.

The company also intends to leverage OutSystems to further consolidate its technology stack, reducing TCO and simplifying enterprise operations. Over time, YASH will continue harnessing OutSystems' agility to drive its modernization initiatives, reinforcing its platform-first operating model.
