Challenge

Replacing a legacy billing system, eliminating risks, and increasing efficiency

TX Group is a leading media group in the DACH region, owning brands like Tamedia, 20 Minuten, JobCloud, and TX Ventures. The company was operating a legacy billing system by a third-party service provider that was no longer fit for purpose. Its IT audits were repeatedly identifying potentially critical risk factors, with monthly closing becoming increasingly problematic. The company was running accounts receivable processes across 16 different business units, serving customers in multiple countries, each with its own bespoke requirements driven by local regulations. This level of complexity was creating bottlenecks that overwhelmed the system and could only be resolved by external specialists.

The system’s limited flexibility meant that many change requests could not be addressed in a timely manner, with enhancements often rejected outright or delayed by long, unreliable development cycles.

Further iteration of the billing system was not a viable option: it would have been slow, costly, inefficient, and heavily dependent on third-party expertise. Importantly, the provider had already flagged that it would not be maintaining the platform in the long term. To tackle all these challenges and modernize the invoicing system, it was imperative that TX Group took control and developed a system in-house.

Solution

An AI-powered modular billing engine built on OutSystems

Following a vision workshop that examined feasibility, reliability, speed, and costs, TX Group determined that OutSystems was best positioned to advance its billing processes. The crucial factors behind the choice were high development speed and seamless integration into the finance ERP Workday, with the team concluding they could implement business requirements iteratively without losing control over architecture, quality, efficiency, and security.

OutSystems Professional Services guided the implementation of the invoicing platform and provided senior expertise across usability, front-end development, and architecture.

The result was a completely new solution that supports the entire invoicing process while significantly improving performance, scalability, and user experience.

A central billing portal now delivers dashboards for operational control, analytics, administration, and reporting. It is built on a modular architecture, with components for validation, workflow, templates, payments, postings, outputs, and integrations. Each module has clear functions, making them easy to maintain, replace, and scale.

From project initiation through sprint development, post-production, and final release, the entire delivery was completed in approximately seven months, three times faster than its predecessor.

The new billing platform has since been augmented with agentic AI. Using OutSystems Agent Workbench, TX Group built and deployed an AI agent that analyzes invoice data, suggesting human intervention when appropriate. When an issue occurs, the agent automatically reviews the logs, reconstructs what happened, identifies potential causes, and provides clear, actionable recommendations.

Results

Stable monthly closing, AI-driven efficiencies and weekly improvements

TX Group’s new, AI-powered billing system has transformed the monthly closing process. The accounts receivable team now has a complete overview of exceptions and errors, enabling them to resolve issues without seeking external support. New capabilities are implemented weekly, so that the business units receive useful enhancements within short, reliable timeframes. At the same time, since the platform change, there are no longer any variable service costs, and maintenance costs are noticeably lower than before, resulting in more than 160,000€ in annual savings.

TX Group’s first AI agent is already impacting its business, significantly reducing manual investigation, speeding up issue resolution, and improving transparency. The team is now exploring new ways of using OutSystems Agent Workbench to further automate its processes.
